If a Youth Service provider is at capacity, they must immediately notify their Regional Contract Manager.

some referrals may be inappropriate

There may be times when it is inappropriate to work with a young person. Before you decline a referral, contact YSSU to discuss options.

A Youth Service provider must decline a referral in the following situations:

  • when there is a dispute or a clear conflict of interest, or
  • when it is unsafe for the Youth Service provider to work with the young person, especially if they have been trespassed from the premises.

When a Youth Service provider accepts a referral, they will be able to view the young person’s ART profile.

YSSU will have created a new ART task for the Youth Service provider.

Within the ART task, you will be able to view the young person’s online application, screening template, and a blank obligations form (if applicable) for the young person to sign.

In the task notes, YSSU will identify when they need the documents back, whether there is a Family Breakdown Assessment scheduled, and which critical documents are necessary to grant their application.

There is also a list of 'non-critical documents' that can be provided at any time up to 20 working days from the date of the application.

You must contact the young person within two working days from the date of receiving the referral to arrange an appointment and send the task back to YSSU within five working days (or seven days).

You will need to remind the young person of the supporting documentation they need to bring to complete their application.

Youth Service providers must make every attempt to contact the young person for their initial appointment.

If you are unable to contact the young person within the two day timeframe, you must send a letter with an appointment time and date, and details for them to contact you if this is not suitable.

If the young person does not respond to the letter or fails to show up for their appointment, you must record this in the open ART task.

After 15 working days (when the task becomes overdue) or the day after the 'Lapse date', whichever is earlier, send the task back to YSSU, who will complete the application.

The Youth Service provider will also need to set up an engagement activity in ART to record the initial meeting and have it available for future engagement with the young person.
