tips for preparing for a young person to exit youth service
monitoring and reporting
To help you work out where and when payments continue or stop and what you can do to prepare for these changes, here are some tips on monitoring foreseeable exits and reporting on peak periods.
Foreseeable exits
The two common foreseeable exits are when a young person:
- ages out of youth service and completed receiving payments for a minimum of six months and payments stop
- has chosen to continue in youth service (past the age out and six months) and their payments stop generally in November or 1 April the following year
Peak periods
Peak periods refer to payments stopping in:
- November, e.g. course end date falls in November
- 1 April the following year, e.g. young person in secondary education, payments continued to 31 March the following year, stopping on 1 April
support for youth coaches
You can determine when and where payments stop by capturing information at grant.
Commencement date
The minimum six months of receiving payments start from the date the young person became "entitled" to payments, not the date they were referred to you in ART.
The day the young person's entitlement starts is referred to as "commencement date". YSSU will record this in the application grant note. You should use this date to estimate when the six months will end.
Date of birth
The young person's 18th birthday (YP) or 20th birthday (YPP) is the date in which they age out of youth service.
Whichever is later
Whichever is the later of the two, age out or six months, payments will stop.
If payments continue on automatically
YSSU may have captured this information at grant or when you updated the Education Activity. Depending on the type of activity the young person is in, payments will continue (past the age out and six months) and stop either in November or 1 April the following year.
notifications
Before payments stop
The young person will be notified 4 weeks before their payments stop.
Notifying you
You will also receive a notification in ART at the same time prompting you to take action before payments stop.
Early intervention
You don't have to wait for the notification or for payments to stop. You can start preparing 6 or 8 weeks ahead using the tips to determine where payments will stop.
planning tips
Once you've determined where payments will stop:
- map out where you'll contact the young person, e.g. 6 or 8 weeks before payments stop
- add alerts to your work Calendar, diary or create an exit log book
- talk to your colleagues about how you can support each other to manage the exits in case someone's away
- setup monthly meetings with your team to report on potential exits coming up
- talk to your ART administrator about creating a monthly report on potential exits
