How Youth Service providers should store, and issue payment cards – to youth coaches and then to young people.

Payment cards should be issued to youth coaches via a manager, team leader or site administrator. 

Youth coaches should not issue cards directly to themselves. Cards must be issued: 

  • In batches of 10 only
    • These must be issued to individual youth coaches (not a bundle for reception)
  • The following information should be recorded
    • What card numbers have been issued to the youth coach – this should include the embossed number on the front, and the sequence number on the back
    • The date cards were issued
    • The name of the youth coach the cards were issued to

This information should be recorded, and retained in a secure location.

Do not share payment cards that have been issued to you with other youth coaches.  If youth coaches require a card, they must go to their Managers/Team leaders or Site Administrator.

Storing payment cards

All payment cards must be stored in a secure location:

  • Managers, team leaders or site administrator should ensure all payment cards are in a locked location, unless needed
  • Any cards issued to a youth coach should be:
    • In in draw during the workday
    • Secured in a locker, or other cupboard at any other time.

When a payment card is to be issued to a young person, a youth coach must:

  • Issue the payment card to the young person via the Payment Card Task in ART 
  • Provide the young person with a payment card wrap
  • Support the young person to set a PIN via MyMSD or by calling 0800 559 009 or Service Express on 0800 33 30 30 if the young person has a registered voice print (more on setting up payment cards in the next section) 
  • YSSU will cancel any other payment cards on the record
  • Record the card number, and who the card was issued to on your Payment Card Register.

Taiohi must set a PIN before they can use their payment card to purchase food, groceries, and other items and services at specified outlets. They'll be able to do this once YSSU has processed Payment Card ART task.

The easiest way for young people to set a PIN would be via MyMSD. If a young person is unable to set a PIN via MyMSD they will need to call us to set one.  This can be done in two ways:

  • Young people with a registered voice print can call Service Express on 0800 33 30 30 or any of our 0800 numbers and say, ‘set my card PIN’. This will automatically direct them to the PIN Set Self-Service line.
  • Young people without a registered voice print, can call us to set a voice print or be manually verified by a customer service representative..

Note: Agents and other third parties cannot register their voice print on the young person’s profile. For more information on registering a voice print visit register your voice with us | Work and Income

Locked Payment Card 

If a young person enters their PIN incorrectly five or more times, they will receive an error message at the EFTPOS terminal. Advise the young person to reset their PIN via MyMSD. This can be done the exact same way they initially set their PIN via the ‘Payment Cards’ section in MyMSD, alternatively a young person can call one of the 0800 numbers mentioned above.

If a young person cannot reset their PIN their card will automatically unlock at midnight. There is no limit to the number of times a young person can reset their PIN.
